Processing Internet appointments is essential.
To do so, the customer fills in the online appointment form. Then, the appointment request appears on the interface.
PROCESS THE REQUEST
There are several ways to process an appointment request:
- Process the lead: see the processing procedure below.
- Declare as spam: if the request is not related to a service appointment.
- To abandon: if the lead makes a mistake (e.g: the lead appears twice because he made a mistake when entering his appointment. He repeated the appointment booking procedure. In this case, declare the erroneous lead "abandoned").
Consult the request details by clicking on the eye icon.
CONTACT INFORMATION
To process the lead, click on the green tick. A window opens with the information filled in the internet form by the lead.
Modify, complete or go directly to the next step.
VEHICLE INFORMATION
Duplicates can exist. Select the vehicle from those proposed and choose which information to keep. Or, continue with the vehicle information pre-filled in by the lead and go on to the summary.
APPOINTMENT EDITING
You are redirected to the second step of editing the service dossier.
In order to confirm the appointment, check, add or complete the intervention information if other elements have been given to you by the lead (e.g.: adding the customer's transcript during a call, adding an additional intervention, etc.).
Once you've finished, click on "Next" and select the day on which you'd like to receive and return the vehicle, depending on the opening hours and availability of the workshop(s) concerned.
By default, the desired day and time of reception will be pre-selected with the information the lead has asked via the internet appointment form.
However, this information can be modified.
Click on "Modify".
The drop-off and the collection are placed in the drop-off/collection schedule.
The intervention is placed in the service schedule backlog ("To be scheduled") on the selected date.
