Documents collected during the sales process are centralized in transaction attachments.
They can be checked both before and after invoicing.


BEFORE INVOICING

Once the financial plan for the vehicle(s) has been processed/registered, it is only possible to :


- check for missing attachments


- add the necessary attachments


- consult the settlement statement


To do this, the "Post-billing audit" column must first be activated (subject to the "View a post-invoice audit file" user right and "Add attachments to a post-invoice audit file"). 




When you click on the gauge in the post-billing audit column, a window appears with three tabs.


First tab, you can :


  • Add one or more transaction attachments from your computer or cell phone (Z-Scan).
  • Consult the list of attachments required* or optional for invoicing, as well as those present or absent on the transaction.
  • Consult the list of attachments inserted manually or by automation on the transaction.


Second tab, you can:

  • Consult the settlement statement present in the financial plan and download it in .pdf format.


Finally, from the third tab, it is possible to consult the activity and comments made on this audit file.


POST INVOICING

Once the financial plan for the vehicle(s) has been invoiced, each user concerned will be able to moderate the post-billing audit file at their own level.




Once a file has been moderated to the highest level, it will be archived after 30 days (configurable delay, please contact the iziflo support team if you want to change it).


At the same time, filtered views are made available to monitor post-billing control files processed or to be processed.



Please note that:

  • A post-billing audit can only be rejected after it has already been moderated.
  • A post-billing audit is automatically rejected if a credit note has been issued.
    This rejects the financial plan and, consequently, the post-billing audit.
    This means that you have to confirm the financing plan one more time, invoice and then confirm the post-billing audit.


USER RIGHT

Privileges related to the use of post-billing control must be enabled on profiles or users for this to work.


1. SALES & DEALS > Other user rights > View a post-billing audit file


2. SALES & DEALS > Other user rights  > Add attachments to a post-billing audit file


3. SALES & DEALS > Other user rights  > Define the attachments unnecessary


4. SALES & DEALS > Other user rights > Confirm a post-billing file at the highest level


The user with the user right can therefore declare "No additional confirmation needed" and then click on the CONFIRM button to finalize the file without the intervention of the highest-level moderator.



NOTIFICATIONS

Whenever an action is performed on a post-billing audit file, you can decide to receive notifications.
To do so, you need to activate them.


Click on the "Bell" icon, then on the "Wheel" icon:


In the "Deals" tab, check the boxes for post-billing audit to receive notifications.

If you also wish to receive notification by e-mail, check "Notified by e-mail".
